Which Marketing Channel Actually Brings Your Leads? A Simple GA4 and Tracking Setup Guide
Most businesses know how many leads they get but not where they come from. Here is a simple six-step setup using GA4 key events, UTM tags, call and WhatsApp tracking and your CRM, plus how to track leads from ChatGPT and other AI search tools.
Quick answer: To find out which marketing channel brings your leads, you need three things working together. First, Google Analytics 4 (GA4) set up so that every form submission, call click and WhatsApp click counts as a key event. Second, UTM tags on every link you control, so GA4 knows whether a visitor came from your newsletter, a Facebook ad or your Google Business Profile. Third, a way to carry that source into your CRM, plus a "How did you hear about us?" question for the leads tracking can't see. With that in place, you'll know which channels deserve more budget and which ones you can stop paying for.
Most small businesses we speak to can tell us how many leads they got last month. Very few can tell us where those leads came from. They spend on Google Ads, post on Instagram, send a monthly email and pay for SEO, then look at a pile of enquiries and guess. When budgets get tight, the channel that gets cut is usually the one with the weakest story, not the one with the weakest results. This guide covers the setup we use for clients in India, the US and the UK.
Why most businesses can't see where their leads come from
Tracking is rarely impossible. It just wasn't set up to connect the first click to the final enquiry. The same gaps show up in almost every account we audit:
- The contact form emails the owner, but nothing tells GA4 that a lead just happened.
- Links in newsletters, bios and WhatsApp broadcasts go out without labels, so the traffic lands in GA4 as "direct".
- Calls and WhatsApp chats, often the biggest lead source for Indian service businesses, aren't tracked at all.
- The CRM stores a name and phone number but no record of which ad or post produced them.
Each gap has a fix, and none of them need expensive software.
What is lead attribution?
Lead attribution means giving credit for a lead to the channel, campaign or post that produced it. If someone clicks a Google ad and books an appointment, that lead belongs to Google Ads. If they first read your blog, came back a week later through Instagram and then booked, the credit is shared or given to one touchpoint, depending on the attribution model.
A small or mid-sized business doesn't need a perfect model. It needs answers to three questions:
- Which channels bring in leads at all?
- Which channels bring in leads that become paying customers?
- What does each lead and each customer cost, channel by channel?
Step 1: Set up GA4 to count leads as key events
GA4 is Google's free analytics platform. In 2024 Google renamed GA4 "conversions" to "key events", so older guides that talk about conversions mean the same thing. A key event is any action you mark as important, and for lead tracking that means the actions a person takes when they become a lead.
Decide what counts as a lead
Write down every way someone can contact you through your website. For most businesses the list includes submitting a contact or quote form, tapping a phone number, clicking a WhatsApp button, clicking an email address, booking through a calendar tool and starting a chatbot conversation. Each of these becomes its own event in GA4. Keep them separate, because you'll want to compare form leads with WhatsApp leads later.
Track form submissions properly
GA4's enhanced measurement can detect some form activity on its own, but it's unreliable across form builders and sometimes counts a form as submitted when validation failed. A more dependable method is to fire an event only after a successful submission.
The simplest way is to send people to a thank-you page (for example, /thank-you) after they submit, and mark visits to that page as a key event. The other way is to have your developer push a generate_lead event, one of GA4's recommended event names, at the moment the form succeeds, usually through Google Tag Manager. The thank-you page is easier to set up and easier to check. On custom-built sites this is often where a developer earns their fee, and our web development team builds it in as standard.
Track call and WhatsApp clicks
Phone links start with tel: and WhatsApp links usually point to wa.me or api.whatsapp.com. In Google Tag Manager, create a trigger that fires when someone clicks a link containing either, and send an event such as click_to_call or whatsapp_click to GA4. Mark both as key events.
A click isn't a guaranteed lead, since someone might open WhatsApp and never send a message. Comparing click counts with the chats your team actually received shows how many people drop off at that last step.
Change the data retention setting
By default GA4 keeps detailed event data for two months. Raise it to 14 months under Admin, then Data collection and modification, then Data retention. Do it on day one, or you won't be able to run detailed year-on-year comparisons.
Step 2: Tag every link you control with UTM parameters
UTM parameters are short labels added to the end of a URL that tell GA4 where a visitor came from. A tagged link looks like this:
https://example.com/offer?utm_source=facebook&utm_medium=paid_social&utm_campaign=diwali_offer
The visitor sees the same page. GA4 files the visit under Facebook, paid social, Diwali offer.
The five UTM parameters
| Parameter | What it describes | Example values |
|---|---|---|
| utm_source | The platform or site | google, facebook, newsletter, linkedin |
| utm_medium | The type of channel | cpc, paid_social, email, organic_social |
| utm_campaign | The campaign or promotion | spring_sale, free_audit |
| utm_content | Which ad, post or link | video_ad_1, story_frame_3 |
| utm_term | The keyword, mainly for paid search | dentist near me |
Use source, medium and campaign on every link. Content helps when you're testing two ad versions or want to know which Story frame got the click.
Where to put UTM tags
Tag every link you share from a place you control: social media bio links, Instagram Story link stickers, links in newsletters and automated emails, WhatsApp broadcasts, the website link on your Google Business Profile, guest posts and directory listings, and QR codes on printed material.
People often skip the Google Business Profile. Without a tag, visits from your Maps listing blend in with ordinary Google search traffic. A tag such as utm_source=google&utm_medium=organic&utm_campaign=gbp keeps it separate. Our guide on getting found when people ask AI for the best business near them covers the listing side in more detail.
Where not to put UTM tags
Never tag links between pages on your own website. If someone arrives from a Google ad and clicks an internal link tagged utm_source=homepage_banner, GA4 starts a new session and the Google Ads credit is lost. You also don't need UTMs on Google Ads if auto-tagging is on and your Google Ads and GA4 accounts are linked, because Google adds its own click ID (gclid) to every ad click.
Keep a naming sheet
UTM values are case sensitive. GA4 treats "Facebook", "facebook" and "FB" as three different sources. Keep a shared spreadsheet of the exact lowercase values your team uses and build every link from it. Google's free Campaign URL Builder helps avoid typos.
Step 3: Track leads that never visit your website
Phone calls from ads and listings
Calls made straight from a Google ad's call extension or your Business Profile are recorded in Google Ads or in your Business Profile performance report, not in GA4. Check both. For people who see your number on the website and dial it by hand, call tracking tools such as CallRail use dynamic number insertion, showing a different number depending on how the visitor arrived. It costs a monthly fee, so it suits businesses where calls are the main lead type.
Facebook and Instagram lead forms
Meta's instant forms collect details without the person leaving Facebook or Instagram, so those leads live in Meta Ads Manager, not GA4. Connect the forms to your CRM or a Google Sheet so they sit alongside your website leads. If you send Meta traffic to your site instead, install the Meta Pixel and the Conversions API so Meta can see which ads produced form fills. Our Facebook ads management setup includes both.
WhatsApp conversations
WhatsApp is the hardest channel to track end to end because the conversation happens inside the app. A practical trick is to pre-fill the opening message differently for each source. The wa.me link in your Instagram bio might open with "Hi, I found you on Instagram", while the one on your pricing page opens with "Hi, I have a question about pricing". Your team sees the source in the first line of every chat. For how WhatsApp compares with email as a lead channel, read our breakdown of email marketing vs WhatsApp marketing.
Step 4: Ask every lead "How did you hear about us?"
Software tracking has blind spots. Someone hears about you from a friend, sees your Reel on their phone, then searches your brand name on their laptop three days later. GA4 credits "organic search" or "direct", even though the Reel and the friend did the work.
A "How did you hear about us?" dropdown on your contact form, with your main channels and an "Other" box, fills that gap. This is called self-reported attribution. Train your team to ask the same question on calls and WhatsApp chats.
When the answers disagree with GA4, pay attention. If GA4 says most leads come from organic search but your form says many people first saw you on Instagram, Instagram is probably building awareness that Google search then converts. Cutting Instagram based on GA4 alone would be a mistake.
Step 5: Pass the lead source into your CRM
The real test of a channel is whether its leads become paying customers, and only your CRM or sales records can tell you that. To connect the two, add hidden fields to your forms that capture the UTM values (and gclid, if you run Google Ads) from the URL. A small script stores them when the visitor first lands, so they survive even if the person browses five pages before filling in the form. On submission, the source, medium and campaign travel with the lead into HubSpot, Zoho, a Google Sheet or whatever your team uses.
After a few months you can sort closed deals by source and see revenue per channel. This is usually when owners discover that a channel with few leads produces their best customers, or that a channel with lots of cheap leads produces almost no sales.
Step 6: Read the right reports in GA4
The Traffic acquisition report (Reports, then Acquisition) shows sessions by channel. Add your key events as a column to see how many leads each channel produced. Switch the dimension to "Session source / medium" or "Session campaign" for more detail. The User acquisition report shows the channel that first brought each person to your site, which helps you see which channels introduce new people and which bring them back to convert.
The Advertising section lets you compare GA4's data-driven attribution, which spreads credit across the touchpoints that helped, with last-click attribution, which gives everything to the final click. A channel that looks much stronger under data-driven attribution is probably doing early, awareness-building work.
Keep in mind that "direct" doesn't only mean people who typed your URL. GA4 puts any visit it can't identify there. If direct is one of your biggest lead sources, you probably have untagged links out there.
How to track leads from ChatGPT, Gemini and other AI search tools
More buyers now ask AI assistants for recommendations before they search Google. When ChatGPT, Perplexity, Gemini or Copilot links to your site and someone clicks, the visit usually shows in GA4 as a referral from that tool's domain, such as chatgpt.com or perplexity.ai. ChatGPT also often adds utm_source=chatgpt.com to its links.
GA4's default channel groups have no separate bucket for AI tools, so these visits mix with ordinary referrals. To fix that, go to Admin, then Data display, then Channel groups, and create a custom group with a new "AI search" channel whose source matches a pattern like:
chatgpt\.com|chat\.openai\.com|perplexity\.ai|gemini\.google\.com|copilot\.microsoft\.com|claude\.ai
Place it above "Referral" so it catches those visits first. AI search then appears as its own line in your acquisition reports, with its own lead count.
The numbers may be small today, but these visitors have often already compared options and read a summary of your business, so they tend to be closer to a decision. Getting more of them depends mostly on your website: clear answers, structured content and schema markup that helps AI tools understand your pages. Our SEO services now cover AI search visibility alongside Google rankings.
A monthly lead report you can actually use
Tracking helps only if someone reads it. A one-page monthly report needs these numbers for each channel, pulled from the places listed:
| Channel | Where to find leads | Where to find spend |
|---|---|---|
| Google Ads | GA4 key events + Google Ads calls | Google Ads |
| Meta Ads | GA4 key events + instant forms | Meta Ads Manager |
| SEO / organic search | GA4 key events | Monthly SEO cost |
| Google Business Profile | GA4 (tagged link) + profile calls | Usually free |
| GA4 key events | Email tool + content cost | |
| Organic social | GA4 + self-reported answers | Content cost |
| AI search | GA4 custom channel | Shared with SEO |
| Word of mouth | Self-reported answers | Free |
From these, work out cost per lead and, using your CRM, cost per customer and revenue per channel. Cost per customer is the number to watch. Cost per lead shows how cheaply a channel fills your inbox; cost per customer shows how cheaply it fills your bank account, and the two often rank channels differently.
Judge trends over three months, not one. SEO leads can take weeks to become customers, so a quiet month can mislead. Our post on what to expect in the first 90 days of digital marketing explains why early numbers look uneven.
Privacy and consent rules for lead tracking
If you have visitors from the UK or the European Union, you need consent before setting analytics and advertising cookies. Google requires advertisers serving users in the European Economic Area to use Consent Mode v2, which tells Google's tags whether each visitor agreed to tracking. That means installing a consent banner that supports Consent Mode and accepting that some visitors will decline, so reported numbers will sit below real ones. This is another reason the self-reported question and CRM records matter.
In India, the Digital Personal Data Protection Act sets rules on collecting and using personal data, so have your privacy policy and form wording reviewed. We're a marketing agency, not a law firm, so treat this as a prompt to check with your legal adviser.
Common lead tracking mistakes
- Counting thank-you page visits as leads when the page can be reached without submitting the form. Keep it out of menus and search results.
- Marking contact page views as a key event. Visiting the page isn't contacting you.
- Running two analytics tags on one site, which doubles every event.
- Forgetting to link Google Ads and GA4, so paid search arrives with no campaign detail.
- Using different UTM spellings across the team, which scatters one campaign across several rows.
- Judging channels only on cost per lead without checking how many leads became customers.
- Never testing. Submit your own form, click your own WhatsApp button and check GA4's Realtime report.

When to get help with lead tracking
You can do most of this yourself if you're comfortable in GA4 and Google Tag Manager. Bring in help if your site runs on a custom platform where forms are hard to edit, if you spend enough on ads that the numbers need to be right, or if you've tried before and the reports still don't make sense.
At Strive DigiTech, tracking is the first thing we set up for every new digital marketing client, before we touch a single ad or post. Our Google Ads management service includes GA4 linking, call tracking and monthly cost-per-customer reporting, and a well-built landing page with tracking built in is often the quickest win. Frequently asked questions
How do I know which marketing channel brings the most leads?
Set up GA4 so that form submissions, call clicks and WhatsApp clicks are counted as key events, tag every link you share with UTM parameters, and check the Traffic acquisition report with your key events added as a column. Add a "How did you hear about us?" question to your forms to catch leads that software tracking misses.
What is a key event in GA4?
A key event is an action on your website that you mark as important, such as a form submission or a click on your phone number. Google renamed GA4 conversions to key events in 2024. Key events appear as columns in GA4 reports so you can see how many each channel produced.
What are UTM parameters and why do they matter?
UTM parameters are labels added to the end of a link, such as utm_source, utm_medium and utm_campaign. They tell GA4 exactly where a visitor came from. Without them, traffic from emails, social bios and messaging apps is often recorded as direct or as a vague referral.
Can GA4 track phone calls and WhatsApp leads?
GA4 can track clicks on phone numbers and WhatsApp links when you set up click events in Google Tag Manager. It can't see calls made by dialling a number by hand or the content of WhatsApp chats. For those, use call tracking software, pre-filled WhatsApp messages for each source, and ask leads how they found you.
How can I track leads from ChatGPT and other AI tools?
Visits from AI assistants usually appear in GA4 as referrals from domains such as chatgpt.com or perplexity.ai. Create a custom channel group in GA4 with an "AI search" channel that matches those sources, and place it above Referral. Your reports will then show AI search as a separate channel with its own lead count.
Why does GA4 show so much direct traffic?
GA4 labels a visit as direct when it can't identify the source. Common causes include untagged links in emails, WhatsApp and other apps, and privacy settings in some browsers. Adding UTM tags to every link you share usually reduces direct traffic and gives credit to the right channel.
How long before lead tracking data is useful?
Events start arriving within minutes of setup, and usable channel data within a week. Wait at least one month before judging a channel and around three months before making large budget changes, because leads from channels like SEO can take weeks to become customers.
